Permanent Full-Time Position

40 Hours per week, Monday - Friday

Pay Band 12, Salary Scale 85% - 91%, $50,644 – $54,218pa

(Depending on qualifications and experience)

HIGH PERFORMING ADMINISTRATOR ROLE AVAILABLE. Be a main part of the engine room that keeps our organisation performing at high levels. The role provides access to a pool vehicle, a mobile phone, laptop, a range of training and development opportunities and some flexibilities to structure your own work flow.

We are looking for an Administrator to support our Business Support Team. The Administrator is responsible for the efficient and effective provision of a range of administrative services. Ths will include vehicle fleet management, as well as the admin linked to other key infrastructure supports such as Telco, ordering supplies, and also keeping the Business Support pages of our intranet supplied with current and timely content.

This is a well-rounded and busy role with plenty of variety. It would suit someone who is capable of multi-tasking, building relationships with team members, decision making and problem solving.

In line with our sustainability goals, Ember has embarked on a Carbon Reduction project. The successful candidate for this role will be a committee member of the Sustainabilty Project Team providing information to it.

The role is a permanent full time position based at Ember’s Otahuhu hub but will require visiting other hubs as part of the role.

NOTE: Ember is an Essential Service within the NZ Health Sector, as part of this role, you must be fully vaccinated including a Booster vaccination.

Main Tasks and Duties:

  • Managing the Ember Vehicle Fleet, servicing, fule cards requisition and allocation.
  • Managing feedback both ways with internal and external stakeholders
  • Manage , maintain update and keep records eg fleet, fuel, etc
  • Produce a range of reports for management.
  • Resolve employee queries including fleet, vehicle insurance claims and company resources.
  • Provide general administrative support to the GM Infrastructure & CFO
  • Minimal product ordering of supplies
  • Manage the remaining paper based record management
  • Improve the adoption of sustainability practices across the organizational hubs and recording their impact

Essential Criteria:

  • NZ Citizen or Permanent Resident
  • Previous administration experience.
  • Attention to accuracy and detail.
  • Strong organisational and prioritisation skills.
  • The ability to communicate confidently with Ember coworkers and external suppliers and other stakeholders to effectively build and maintain strong relationships.
  • Problem solving, time management and research skills relevant to the position.
  • The ability to work as a team member and at times independently.
  • Proficient computer skills in MS Word, Excel, Outlook and a willingness to learn new applications.
  • A clean full NZ driver license

Desirable Criteria:

  • A minimum NZQA accredited qualification at level 4 or above.
  • Previous knowledge/experience in the mental health and/or addictions and disability sector.
