Registration and login

  • How do I register on the Grants Portal?

    Follow the link to our Grants Portal and click on ‘create an account’.

  • I registered but didn’t receive a confirmation email?

    Check your spam or junk folder. If it is not there, contact grants@tepou.co.nz

  • I’ve forgotten my username or password?

    Your username is your registered email address. Use the ‘Forgot password’ function on the login page to reset it.

  • I’m getting an invalid username or password message?

    Make sure you are using the correct email address. Reset your password if required.

  • I can’t register my organisation using my email address?

    Only organisational email domains (eg @organisation.co.nz) are accepted. Personal or international email domains (eg Gmail, Hotmail) are not supported. Contact grants@tepou.co.nz for help.

  • Someone else has already registered my organisation?

    Please contact your organisation’s registered user to add you. If that person is not known or is unavailable, contact grants@tepou.co.nz for support.

Identity verification and bank details (account registration)

  • Why do I need to provide photo ID when registering

    We require photo identification to confirm your identity and help ensure that grant funding is paid to the correct person or organisation. This helps protect applicants and prevents fraudulent activity.

    Accepted identification may include:

    Your information is securely stored and only used for verification purposes in line with the Privacy Act 2020. Check out our Privacy Policy.

  • Why do I need to provide verified bank account details?

    We require verified bank account details to ensure grant payments are made securely and directly to the correct recipient. This reduces the risk of payment errors, fraud, or funds being paid to the wrong account.

    Bank verification also helps us:

    • confirm the account belongs to the applicant or organisation
    • prevent payment delays
    • ensure compliance with financial audit requirements

    Bank details are stored securely and are only used for payment processing and financial administration.

  • What happens if my ID or bank details are not accepted?

    In some cases, the information you provide may not meet our verification requirements (for example, if the copy is unclear, incomplete, or cannot be matched).

    If this occurs, you may be asked to:

    • provide clearer copies, or
    • submit alternative identification or bank verification

    Acceptance of identity and bank verification information is at the sole discretion of Te Pou.

  • Can I still apply if my ID or bank details are being verified?

    Yes. You can apply while your identity and bank details are still being verified by Te Pou.

    However, we can only consider your application if both your ID and bank details have been accepted before the closing date.

  • What is the deadline for providing verification information?

    All required identity and bank verification information must be submitted and accepted before the grant closing date. Specific grant closing dates can be found on our website.

    If verification is not completed by this time, your application will not be considered.

  • Is my personal and banking information secure?

    Yes. All identity and banking information is securely stored and only accessed by authorised Te Pou staff for verification and payment purposes. Information is handled in accordance with the Privacy Act 2020 and internal security controls. Check out our Privacy Policy.

Applying for a grant

  • Can I apply using paper or email?

    No. All applications must be submitted via the online grants portal.

  • Can I see the application form before applying?

    Application forms become available when a grant funding round opens. You’re welcome to log in and view the form at that point. You do not need to submit an application unless you choose to apply.

  • What information is usually required to apply?

    Applications typically include:

    • eligibility information
    • details of the learning activity
    • costs
    • delivery method, for example online or in person
    • location of the training, for example name of town or city (or online)
    • employer/organisational support (if required)
    • expected outcomes or benefits.

Eligibility and funding rules

  • Can I receive funding from more than one source for the same activity?

    You can use more than one funding source for the same activity, but you cannot be paid twice for the same cost. You must disclose any other funding in your application.

    Example:

    If Te Pou fully funds a course fee, you cannot also receive funding from another source for that same course fee.

    If Te Pou only partially funds the course fee, you may seek funding from another source to cover the remaining cost, but not the portion already funded by Te Pou.

  • Are grants available for ongoing activities?

    No. Grants fund specific, one-off learning or development activities.

  • Is funding guaranteed?

    No. Funding is limited. Submitting an application does not guarantee you will receive a grant.

  • What happens if I provide incorrect information?

    Applications must be accurate. False or misleading information may result in decline, withdrawal of funding, or repayment.

  • How are applications assessed?

    Applications are assessed against:

    • eligibility criteria
    • funding priorities
    • available funding.

    External reviewers or sector experts may be involved.

  • Are decisions final?

    Yes. All decisions on grant applications are final, and no correspondence will be entered into.

    However, if you believe your application was declined due to a procedural error, you may submit a written request for review within 10 business days of being notified of the outcome. Te Pou will consider requests on a case-by-case basis. This process does not guarantee that your application will be reconsidered.

Support requirements

  • Who should I contact if I need help with my application?

    Te Pou can help with:

    • technical issues with the grants portal (eg login problems, uploading documents)
    • clarification of application questions
    • general process queries.

    We cannot complete applications on your behalf.

  • Can Te Pou help me develop or review my application?

    No. Te Pou does not provide advice, editing, or support to write applications or assess application content.

    If you’re unsure if the learning activity is a good fit, email the Te Pou contact person for that grant. They can provide clarification specific to that grant funding round.

  • Do I need a support letter from my employer?

    Yes, if required by the grant. Check out our website to find out if a letter is required.

    A support letter should confirm:

    • employer/organisation support for the application
    • approval to attend the learning activity.

Costs and funding

  • What costs are generally covered?

    Grants may contribute to:

    • course or programme fees
    • learning resources
    • travel and accommodation (where applicable).

    Funding usually covers part of the learning activity costs, not the full amount. Check out grant specific requirements on our website.

  • What costs are not covered?

    Unless stated otherwise:

    • wages or backfill
    • laptops or equipment
    • costs covered by other funding sources.

Submitting the application and documents

  • I’m having trouble uploading documents?

    Check the files meet the format and size requirements shown in the portal. Only portal uploads are accepted. We cannot accept any documents by email. If you continue having problems, contact grants@tepou.co.nz.

  • What happens if I miss the application closing date?

    Applications must be submitted before the stated closing date and time.

    Late applications cannot be accepted, and grant rounds will not be reopened to accommodate late submissions.

    It is your (the applicant’s) responsibility to ensure the application is fully submitted on time.

    We recommend submitting your application several days before the closing date to allow time to address any technical or verification issues.

After you apply

  • What happens after I submit my application?

    Applications are assessed by Te Pou after the closing date.

  • When will I know the outcome?

    You will usually be notified within 10 working days of the closing date.

  • Will I get feedback if unsuccessful?

    No individual feedback is provided. All decisions are final.

Changes, cancellations and updates

  • Can I change my learning activity dates?

    Possibly. Email grants@tepou.co.nz with your application number and new dates. Approval from Te Pou is required.

  • What if I cancel my learning activity?

    Immediately email us at grants@tepou.co.nz with your application number.

  • Do I need to notify you about changes?

    Yes. Any proposed changes to your activity, including timing or delivery, must be approved by Te Pou.

    For organisational applicants, this also includes changes to participants.

Payments

  • How do I receive payment?

    Once approved, you must accept the grant in the Grant Portal. Payment is made to your nominated bank account soon after.

  • How are organisational payments processed?

    Organisations will receive payment instructions once the grant is accepted. Organisations may need to invoice for the full approved amount.

  • Do I need to invoice to get paid if I’m successful?

    Individuals do not need to invoice; payment will be made directly by Te Pou.

    Organisations must invoice for the full approved amount unless agreed otherwise.

  • Can I return or decline funding after it's been paid to me?

    Yes. If your circumstances change and you no longer wish to receive the funding, you can use the ‘Reject’ option available in the grant’s portal.

    You should initiate the Reject process as early as possible, and well before the learning activity or training starts.

    If you have already received payment or are unsure what to do, please contact grants@tepou.co.nz for guidance.

Reporting

  • Why do I need to complete a final report?

    Final reports help Te Pou understand:

    • how the learning activity or training was delivered and experienced
    • whether the training met its intended objectives
    • trends and insights across funded activities
    • the overall impact of grant funding.

    We also use this information to report anonymised, aggregated data to our funders and stakeholders.

    Completing a final report is a requirement to receive funding. The information provided supports accountability, continuous improvement, and reporting obligations to funders.

  • When is my report due?

    One month after completing the learning activity. Email Te Pou if you wish to request an extension. Extension requests must be made in advance, with a reason and proposed new due date. Te Pou will consider these on a case-by-case basis.

  • Where is the report completed?

    In the grants portal once your grant is active.

  • Can I download my report?

    Yes, from the ‘completed applications’ section.

  • What if I didn’t spend all the funding?

    Unspent funds may need to be returned to Te Pou. When completing your report ensure you detail exactly how the funds were used. We will contact you if we need any unspent funds returned.

Monitoring, audit and compliance

  • Can my grant be reviewed or audited?

    Yes. Te Pou may audit or review any grant to ensure the funding has been used correctly.

  • What may be reviewed?

    • Eligibility
    • Use of funds
    • Completion of activity
    • Supporting evidence

    You must cooperate with any review process.

Repayment of funds

  • Will I need to repay funding?

    You may need to repay funding if:

    • the activity does not proceed
    • funds are misused
    • reporting is not completed
    • funds remain unspent

    Repayment may be full or partial.
